Volunteer Opportunity Descriptions

Hospitality 

Committee Chairs: Deb Jones & Denise Reimer

We’ll need volunteers from mid-morning through evening on the day of RAGBRAI and again the day after cheering on riders as they leave town.

Information Center

Committee Chairs: Lou Ann Huberty & Jane Whitmore

This is the primary resource for riders as they seek information. We’ll need help setting up the Information Center the evening before, we’ll staff the booth all day and into the evening on the day of RAGBRAI and the morning after for a short time.

Beverage Garden

Committee Chairs: John & Robbin Bird & Steve & Becky Finer

We’ll need help with setting up on Monday, staffing the beverage garden on Tuesday, and clean up on Wednesday morning. Volunteers working in the beverage garden are required to attend an online TIPS training to learn how to check I.D.s and identify warning signs of over indulgence of alcohol.

Campgrounds

Committee Chairs: Kent & Tati Malm

Stake sites, direct riders and drivers in setting up, and patrol campground boundaries. After riders leave, remove stakes and signage and do a general clean-up of anything left in the campground areas.

Ride Right

Committee Chairs: Joel Hoyman

Would like 6 volunteers in pairs of 2 that can help with this committee. Times will be scheduled with the chair and can be flexible.

  • Distribute posters throughout our community on bicycle safety during the months of May – July

  • Travel the route in advance of the event (4-5 days in advance) to distribute flyers and note of any roadway concerns

  • Travel the route to the next overnight town on Wednesday to pick up route markers and any other signage

Shuttle Service

Committee Chairs: Roger Daum

Volunteers are stationed at bus stops and on the shuttles.  Also need bus drivers and guide on board to provide info keeping drivers focused.

Sanitation

Committee Chairs: Cindy Flannegan

  • Set up and empty trash receptacles throughout the day, replace as necessary.

  • Monitor fresh water availability for food vendors and grey water disposal from food vendor booths.

Housing

Committee Chairs: HELP!  No Chairperson

Over 15,000 riders will stay overnight in town. More than 1,500 are looking for private camping or home locations. Anyone in the area can help! You can offer parking for a motor home, yard area for tents, floor space, or beds. Hosts are not required to transport or feed riders and are not allowed to charge for accommodations. This is a terrific opportunity to meet people from across the United States. Your contact information will be forwarded to the Hospitality Chair to make arrangements for your overnight guests.  Will make connections with riders and homeowners after May 1. 

Showers

Committee Chairs: Cindy Flannegan

Coordinates available shower locations for riders with various organizations.  (School was instrumental in selling showers in 2014.  Great fundraiser for Booster Club!)

Publicity

Committee Chairs: Diane Weiland & Anna Schulte

  • Coordinates publicity prior to the event and works with media prior to and during the event.

  • Coordinates release of information to the media to generate local interest in hosting RAGBRAI.

  • Oversees printing a tabloid as a hand out to riders.

Web & Social Media

Committee Chairs: Gretchen Reichter

Manages RAGBRAI website and social media content. Constantly updates the town’s web site and social media sites (i.e. Facebook).

Volunteer Coordination

Committee Chairs: HELP!  No Chairperson

Coordinates volunteers to assist in various areas both prior to and during the event. Arranges for total community involvement, from kindergartners to people in nursing homes. Works with the volunteers from the start and keeps them involved through the day RAGBRAI arrives. Probably will need more than one person on this committee to help with recruiting. It would be helpful if the people on this committee know many people residing in and around the area.

Food & Vendors

Committee Chairs: Ben Hofstad & Dr. Dean Ver Mulm

  • Coordinates all aspects of bringing in food and vendors and works with contracts, etc.

  • Coordinates all food vendors, fields requests from individuals and organizations that want to sell products and services. This includes the distribution and sale of ice to the vendors, Beverage Garden and possible RAGBRAI participants.

  • Works with RAGBRAI and local authorities to keep renegade vendors outside the community.

Entertainment & Special Events

Committee Chairs: Julie Bird

Coordinates entertainment and special events to take place, from special rider involvement contests to bands during the RAGBRAI visit as well as any special events. Needs 5-Man Crew to help to setup and take down Stage/Sound system morning and at 11:00 at night.

Communications

Committee Chairs: Kent & Belinda Davidson

Coordinates all communication during RAGBRAI. Will work closely with all committees, but especially Shuttle Service, Information Center and Public Safety Committees.  Secures radios, dispenses radios and fresh batteries throughout the day.

Transportation

Committee Chairs: Roger Daum

  • Arranges transportation from campgrounds to entertainment, food service and showers.

  • Arranges vehicles including golf carts and gators.

  • Sets up route schedules and recruits drivers, hosts and hostesses.

  • Secures parking areas.

  • Works closely with Public Safety and Law Enforcement Committee. 

Fundraising

Committee Chairs: HELP!  No Chairperson

Coordinates fundraisers and getting sponsorships from businesses.  Works closely with the Budget committee to insure there is enough money to cover all expenses while promoting local businesses.

Local Organizing Committee

Local Committee Descriptions:

Campgrounds 

Selects camping areas that are at no cost to registered riders. Works with the Shower, Sanitation & Recycling committee to arrange shower and bathroom locations. Plans vehicle parking. Works with large groups for possible off-site camping. Works very closely with the Housing Committee. 

Housing 

Arranges private home stays and special camping for riders. Will work closely with Campgrounds Committee.

Showers, Sanitization, Recycling

In charge of providing adequate showers for the riders. Plans for the trash and recycling collection. Plans for the rental, location and servicing of portable toilets for the city; RV waste dumping, etc.

RIDE RIGHT

Addresses all safety concerns in the city and on the route to the next host town. Will work closely with the city street department, public safety committee, county engineers and the DOT. Conducts safety seminars for young and old residents, and promotes RIDE RIGHT the day of RAGBRAI. Preferably the head of this subcommittee should be a member of a bike club or should have ridden RAGBRAI.

Publicity

Four sub-groups work under the Publicity Committee: Signs, Marketing/Media, Maps and the Speakers Bureau. The Publicity Committee coordinates release of information to the media to generate local interest in RAGBRAI. The committee also selects a theme and designs town logo. Writes the mission statement. Oversees printing a tabloid as a hand out to riders. Works closely with the Hospitality and the Web & Social Media Committee.

Hospitality

Involves the community in a welcome and farewell for RAGBRAI. Helps promote the community theme and organizes the production and sales of T-shirts. Coordinates beautification of the community. Works closely with the Publicity Committee. Plans town halls and community gatherings prior to RAGBRAI.

Web & Social Media

Must have knowledge of setting up a Web site. Should be very creative. Be able to constantly update the town’s web site and social media sites such as Twitter, Facebook and Instagram. Works very closely with the Publicity Committee.

Information Center

Located in the Main Campground, it must be the key center for information about your entire operation. Any inquiry should be able to be answered at this center. You may set up satellite centers in town, but you should have just one main Information Center. Information Center volunteers should make sure that all vendors have copies of your town's tabloid and that all are aware of your town's setup and where riders should go for additional information.

Volunteers

Fields requests from individuals and organizations that want to sell products and services. Works with RAGBRAI and local authorities to keep renegade vendors outside the community.

Electrical

Electric service is so important for campgrounds, entertainment, and food and beverage service that a dedicated electrician should serve on an electrical subcommittee, working closely with the various committee chairs to coordinate the electrical needs for the town during RAGBRAI's stay.

Beverage Garden Committee

Organizes and staffs the Beverage Garden for the community. 

Entertainment & Special Events

Coordinates all entertainment, from special rider involvement contests to bands during the RAGBRAI visit as well as any special events.

Public Safety

Coordinates traffic control, parking, street conditions, weather monitoring and other safety issues. Will work closely with the police department, street department and the RIDE RIGHT representative.

Law Enforcement

Enforces campground and beverage establishment security. Hires additional officers as needed. Devises, implements traffic plans (bike and vehicles) in town. The committee chair should be either the local police chief, sheriff or a representative from the police/sheriff’s department. 

Medical

Organizes recruits and schedules and supplies a medical team to serve in the campgrounds. 

Communications

Coordinates all communication during RAGBRAI. Will work closely with all committees, but especially Shuttle Service, Information Center and Public Safety Committees.
